Late invoices are expensive twice
An invoice that goes out four weeks after the work has two problems. The customer has stopped thinking about the job, so every line invites a question. And your money is somewhere else for a month while your merchant account is not. Neither of those is fixed by chasing harder; they are fixed by invoicing sooner, and invoicing sooner is only possible when there is nothing to reconstruct first.

Recorded on site, so the fittings that went in on Tuesday are on the invoice rather than absorbed into the price.

A payment link on the invoice
The customer pays from the invoice by card, Apple Pay or Google Pay — or transfers it with the invoice number as the reference.
VAT belongs on the line, not in your head
Most work is standard rated at 20%, some at the reduced rate of 5%. Supply and installation of energy-saving materials in homes is zero rated until 31 March 2027, after which it goes back to 5% — that applies across the UK, Northern Ireland included. On a £12,000 installation the change is £600, so a quote that stays valid past that date needs a line about it.
The rate sits on the line rather than on the invoice, because a single job can carry both a zero-rated heat pump and standard-rated remedial work. Source: HMRC VAT Notice 708/6.
Getting paid
There is no direct debit here the way there is across the Channel — UK business banking sits outside SEPA Direct Debit, so invoices are paid by transfer. That makes the reminder do the work that a mandate does elsewhere: a first one before the due date, a second after it, sent without anyone having to remember.

Does it do Making Tax Digital?
No filing from here. The figures export to your MTD-compatible accounts package and the returns go from there; Quandron keeps the records behind them attached to the job. Making Tax Digital for VAT has applied to every VAT-registered business since April 2022, and for income tax it starts on 6 April 2026 above £50,000 of qualifying income.
Do I have to be VAT registered?
You have to register once taxable turnover passes £90,000 in any rolling twelve months — a rolling twelve, not your financial year — and within 30 days of the end of the month you cross it. Below that it is optional. The software works either way; without registration no VAT lines go out.
Can it handle the domestic reverse charge?
Yes. It applies to CIS-covered construction work between two VAT-registered businesses where the customer is not an end user, and the invoice then carries ‘Reverse charge: VAT Act 1994 Section 55A applies’ with the rate shown but not added. Which of your customers count as end users is the part to settle with your accountant — it is a property of the customer, not of the job.
Does it replace my accountant?
No. It takes you to the invoice and hands the figures over.
