The knowledge walks around in a van
In most firms the customer history lives with whoever went last time. That works until he is on holiday, or leaves. Then somebody turns up at a property knowing nothing about the boiler that was condemned two years ago, and the customer has to explain their own history to the people they pay.
What sits against a customer
The property, not just the person
Landlords, letting agents and managed blocks have one payer and many addresses. The history belongs to the address.
Everything that happened there
Quotes, jobs, job sheets, photos, invoices and what was flagged for next time.
Appliances and what was fitted
Model, date, warranty and last service — before you knock.
Quotes that never went ahead
The most useful list nobody keeps. Work already surveyed and priced, waiting for a reason to ring.
The follow-up that pays for the system
An open quote from four months ago is a warmer prospect than anyone you could advertise to. It needs no survey and no price work; it needs a phone call. A list that shows which quotes are still open, and how long they have been open, is the cheapest sales tool in a trade business.

Can I import from a spreadsheet?
Yes. Customers, properties and price lists come in from Excel or CSV.
Does it work for landlords with many properties?
Yes. One payer with many addresses is the normal case rather than an exception.
What about data protection?
UK GDPR and the Data Protection Act 2018 apply, and the ICO is the authority. Your data sits in the Netherlands, which the UK treats as adequate, so the transfer itself needs nothing extra. What you have to do yourself: register with the ICO, keep a privacy notice, and keep customer records no longer than you need them.
Can I see which quotes are still open?
Yes, with how long they have been open, which is usually the more useful number.
