Servicing and maintenance

The round is worth more than the visits in it

Provided the renewals actually happen. That is a scheduling problem, and it is the one most firms solve with a spreadsheet nobody updates.

Recurring revenue leaks quietly

A service round is the steadiest income a trade business has: known work, known duration, in a month you choose. It also decays faster than anything else, because a missed renewal produces no complaint. Nobody rings to say they were not reminded. The round just gets smaller, and the reason is never visible in a month's figures.

What makes a round hold together

Contracts with their own date

The renewal is a property of the contract, not a note in a diary.

Reminders that go out anyway

Sent on schedule whether or not anyone remembered — which is the whole point.

A due list, not a spreadsheet

What you see in the morning is the properties due this month.

History before the visit

What was fitted, what was flagged last time and what was quoted and declined.

Flagged work is next year's quotes

Every visit produces something the engineer noticed and did not do: a pump on its way out, a flue that wants attention, a cylinder past its best. Recorded against the property, that is a list of jobs already surveyed and already believed by the customer. Recorded on a pad, it is nothing.

One payer, many addresses

Letting agents, landlords and managed blocks break most systems because they invoice one party and visit forty. Anchoring the history to the address rather than the payer is what keeps that workable — the invoice goes one way, the record stays with the property.

Common questions

Can I bill contracts monthly?

Monthly, quarterly or annually, and stage payments on larger jobs. Note that there is no direct debit here — UK business banking sits outside SEPA Direct Debit — so a contract invoice is paid by card from the link or by transfer with the invoice number as reference.

What happens when a contract is not renewed?

It shows as lapsed rather than disappearing, so the round can be worked back rather than quietly shrinking.

Can different properties have different service months?

Yes. The date belongs to the contract, so a portfolio spreads across the year instead of landing in one week.

Does it keep the certificates too?

The record you complete stays with the property and the appliance — CP12, the electrical certificates and the Benchmark checklist included.
