Quoting software

The quote decides how the invoice goes

A clear quote, accepted online, with variations recorded before the work happens rather than argued about after.

Most arguments are written into the quote

If the quote does not say what is excluded, every extra becomes a negotiation. If it has no provisional sums with a stated figure, every change in quantity is a surprise. The work of avoiding that happens before anyone picks up a tool.

What the software does about it

Standard wording that always goes out

What is not included, and the line saying variations are confirmed in writing first. On every quote, whoever wrote it.

Accepted online

The customer accepts on their phone. You can see when they opened it — that is when to ring.

Variations on the job

With a photo and a sign-off, waiting for you when you invoice.

Provisional sums

With a figure and a note that they are measured on completion.

From quote to invoice

An accepted quote becomes a job, the job collects hours, materials and variations, and the invoice comes out of that. When you invoice you can see what was priced next to what it actually took.

Common questions

Can I use my own template?

Yes. Logo, colours and standard wording are set once and apply to every quote after that.

Is an online acceptance enough?

What matters is being able to show who accepted what and when. A signature on a screen is a signature in law (Electronic Communications Act 2000); only a deed needs more than that, and a quote is not a deed.

What about VAT?

The standard rate is 20% and a reduced rate of 5% applies to some work. Supply and installation of energy-saving materials in homes is zero rated until 31 March 2027 and goes back to 5% after that, across the UK including Northern Ireland (HMRC VAT Notice 708/6). The rate sits on the line, because one job can carry both.

Does it chase quotes for me?

Quotes can carry a reminder, and the overview shows which ones are still open and for how long.
