On your own, and still not doing admin on a Sunday

Quote in the morning, job sheet on site, invoice before you get home. The rest of the system stays out of the way.

On your own, admin comes out of your evenings

In a firm with staff, the paperwork costs somebody's day. On your own it costs your evening, and it is the first thing to slip when you are busy. Which is exactly when quotes go out late, invoices go out later, and the work you did in March is still not billed in May.

The fix is not more discipline. It is fewer moments where something has to be typed up a second time.

What a day looks like

Quote from the doorstep

Standard lines, your own wording, sent before you leave. Accepted on the customer's phone.

Job sheet on site

Hours, materials, photos, signature. Done while you are standing there rather than remembered later.

Invoice the same day

Built from what you already recorded, with a payment link on it.

Chasing that runs itself

Reminders go out on their own schedule, which is the part nobody working alone gets round to.

Growing into it, not out of it

The awkward moment is the first person you take on. That is usually when a one-person setup gets replaced rather than extended, and everything moves house at the worst possible time. The same customers, price lists and job history carry over here when you add somebody — the board just gets a second column.

Common questions

Is this too much system for one person?

The parts you do not use stay out of sight. What a sole trader actually touches is the quote, the job sheet and the invoice.

What does it cost for one person?

£45 a month for Solo, which is the plan for working on your own. The rate is per business rather than per user, so it does not change the day you take somebody on — only the plan does, and not until you pass three engineers.

Do I need to be VAT registered to use it?

No. You have to register with HMRC once taxable turnover passes £90,000 in any rolling twelve months; below that it is your choice. Without registration, no VAT lines go out.

What about CIS as a subcontractor?

If a contractor deducts tax from what they pay you, the invoice has to show that. That has a page of its own.
