Job sheet template: what belongs on it — and the case against Word
A complete job sheet has fixed parts. Here they are, plus why filling one in on a phone beats printing a template.
Most people looking for a job sheet template want the same thing: something that captures the job properly without having to design it. The list below is that. What is worth knowing before you print a hundred of them is what happens after the sheet is filled in, because that is where the cost is.
What goes on a job sheet
- Your business details and logo
- A job sheet number and the date
- The customer, and the property — which is not always the same address
- The work carried out, in plain words
- Materials and parts used, with quantities
- Hours, or a start and finish time
- Anything found and left undone, and anything unsafe
- A signature from whoever was there
With those parts you have a sheet that stands up as proof of completion and that somebody can invoice from without ringing you to ask what happened.
The line most templates leave off
It is the seventh one: what you found and did not do. On a printed template it ends up in a box nobody reads again. Recorded against the property, it is a list of work already surveyed and already wanted — and over a year that list is worth more than the sheets themselves.
Word, Excel or an app
A template in Word or Excel works, and it is free. What it costs is the evening after: retyping, chasing the sheet that stayed in the van, and photos that live in a camera roll rather than on the job.
Word, Excel or PDF
Free, and all handwork: retyping, separate files, no photos, no link to the invoice.
Digital job sheet app
Filled in on the phone with photos and a signature; attached to the property and to the invoice.
Filling one in on the phone
- The job exists already, from the quote or from the schedule
- On site the engineer records the work, materials and hours
- Photos and the signature go on there and then
- Closing the job produces the sheet and a draft invoice

Your business details, a number and a date, the customer and the property, the work carried out, materials and hours, and a signature.
Can I get a job sheet template free?
You can build one in Word or Excel for nothing. What you do not get is photos, a signature and the link to your invoice — which is where the time goes.
What is the difference between a job sheet and an invoice?
The job sheet records what was done and is your proof of completion; the invoice is the bill that follows from it. In an app the invoice is built from the sheet.
